What are email autoresponders?

An autoresponder is an automated email reply sent when someone emails you. Common uses include:

  • Vacation or out-of-office messages during leave
  • Acknowledgement messages for support or enquiry addresses
  • Temporary notifications during business closures
  • Conference or event notifications when unavailable

Autoresponders only send one reply per sender per day to prevent mail loops and spam.

Two ways to set up autoresponders

You can create autoresponders using:

  1. DirectAdmin Autoresponders: Simple interface for basic vacation messages
  2. Roundcube Webmail Filters: More control over conditions and message content

Both methods work well. DirectAdmin is faster for simple out-of-office messages, while Roundcube offers advanced filtering options.

Method 1: DirectAdmin autoresponders

Creating an autoresponder in DirectAdmin

  1. Log in to DirectAdmin
  2. Go to Email Manager β†’ Autoresponders
  3. Click Create Autoresponder
  4. Select the email account from the dropdown
  5. Enter a subject line (e.g., "Out of Office: Will return 2 July")
  6. Enter your autoresponder message in the text box
  7. Optionally set start and end dates for the autoresponder
  8. Click Create

The autoresponder activates immediately and will reply to all incoming messages.

Autoresponder message best practices

A good autoresponder message includes:

  • Clear subject line: "Out of Office" or "Vacation reply" so recipients know it is automated
  • Your absence dates: "I am away from 20 June to 2 July 2026"
  • Return date: "I will respond to your email when I return on 3 July"
  • Alternative contact: "For urgent matters, contact support@yourcompany.co.za"
  • Professional tone: Keep it brief and polite

Editing or deleting autoresponders

To modify an existing autoresponder:

  1. Go to Email Manager β†’ Autoresponders
  2. Find the autoresponder in the list
  3. Click Modify to change the message or dates
  4. Or click Delete to remove it

Important: Remember to delete or disable your autoresponder when you return, otherwise it will continue replying to emails indefinitely.

Method 2: Roundcube webmail autoresponders

Roundcube webmail offers more advanced autoresponder options through email filters (also called Sieve filters or vacation messages).

Setting up a vacation message in Roundcube

  1. Log in to webmail.yourdomain.co.za using your email address and password
  2. Click Settings (gear icon) in the top right
  3. In the left sidebar, click Filters
  4. Click the Vacation or Out of Office tab at the top
  5. Enable the vacation responder by checking Vacation message enabled
  6. Enter your message subject and body
  7. Set start and end dates (optional)
  8. Configure how often to reply to the same sender (default: once per day)
  9. Click Save

The vacation responder activates immediately and remains active until you disable it or the end date is reached.

Advanced Roundcube filter options

Roundcube filters allow you to:

  • Send different autoresponder messages based on sender address
  • Reply only to messages sent to specific addresses
  • Exclude certain senders from receiving autoresponders
  • Forward messages to another address while sending an autoresponder

To create custom filter rules, use the Filters section in Roundcube Settings and create a new filter rule with "Reply with message" as the action.

Autoresponder frequency and mail loops

By default, autoresponders send one reply per sender per 24 hours. This prevents mail loops where two autoresponders reply to each other endlessly.

How autoresponder frequency works

  • First email from sender@example.com: Autoresponder sends a reply
  • Second email from same sender within 24 hours: No autoresponder (already replied recently)
  • Third email from same sender after 24 hours: Autoresponder sends another reply

This behaviour is built into the mail server and cannot be changed. It protects against spam and mail loops.

When to use autoresponders

Good uses for autoresponders

  • Annual leave or vacation: Let correspondents know you are unavailable
  • Public holidays: Notify senders your business is closed
  • Conference attendance: Explain delayed responses during events
  • Support acknowledgements: Confirm enquiry submissions
  • Temporary unavailability: Brief absences or off-site meetings

When NOT to use autoresponders

  • Mailing lists: Autoresponders spam all list subscribers; unsubscribe instead
  • Marketing campaigns: Use proper email marketing tools, not autoresponders
  • Customer support: Use a ticketing system instead of autoresponders
  • Permanent messages: Update your email signature instead

Troubleshooting autoresponders

Autoresponder not sending replies

If your autoresponder is not working:

  • Verify the autoresponder is enabled (check DirectAdmin or Roundcube)
  • Confirm the email account is receiving mail (check webmail inbox)
  • Check the sender has not already received a reply in the past 24 hours
  • Ensure the incoming email is not spam (autoresponders do not reply to spam)
  • Test by sending yourself an email from an external address (Gmail, Outlook.com)

Autoresponder sending too many replies

If recipients complain about multiple autoresponder messages:

  • Check you have not created duplicate autoresponders in both DirectAdmin and Roundcube
  • Verify the autoresponder interval is set to 24 hours, not more frequently
  • Disable the autoresponder if you have returned from leave

Autoresponder message has wrong information

If you need to update the message:

  • Edit the autoresponder in DirectAdmin or Roundcube
  • Changes take effect immediately
  • Recipients who already received a reply today will not see the updated message until tomorrow

Autoresponders vs forwarders

Autoresponders and forwarders serve different purposes:

You can use both simultaneously. For example, set up a forwarder to send mail to a colleague while on leave, and an autoresponder to notify senders you are unavailable.

Privacy and security considerations

What to avoid in autoresponder messages

  • Home address or personal phone numbers: Only include business contact information
  • Exact travel details: Saying "I am on holiday in Mauritius" can be a security risk
  • Financial information: Never include bank details or payment information
  • Unencrypted sensitive data: Autoresponders are plain text and not secure

Autoresponders and spam

Autoresponders do not reply to:

  • Messages marked as spam by the server
  • Emails sent to mailing lists (detected by List-* headers)
  • Bulk or marketing emails (detected by Precedence: bulk header)

This prevents your autoresponder from replying to spam and alerting spammers that your email address is active.

Disabling autoresponders after return

When you return from leave, disable your autoresponder immediately:

In DirectAdmin

  1. Go to Email Manager β†’ Autoresponders
  2. Find your autoresponder
  3. Click Delete

In Roundcube webmail

  1. Log in to webmail
  2. Go to Settings β†’ Filters β†’ Vacation
  3. Uncheck Vacation message enabled
  4. Click Save

Forgetting to disable autoresponders is a common mistake. Set a reminder on your phone or calendar to disable it on your first day back.

Business hours autoresponders

Unlike some advanced email systems, DirectAdmin autoresponders cannot be limited to business hours only. They reply 24/7 while enabled.

If you need business-hours-only autoresponders or more sophisticated email automation, consider using:

  • A dedicated support ticketing system (Zendesk, Freshdesk)
  • Email marketing automation tools (MailChimp, SendGrid)
  • Microsoft 365 or Google Workspace with advanced rules
